Ensure your Notes are not prematurely sent to your team with Notebook Drafts

With Notebook Drafts, you can easily differentiate between drafts and finalized versions of your shared content to streamline the creation and distribution of reports and newsletters.


Enabling Notebook Drafts

By default, Notebook drafts are turned off. This means that whenever you create and/or share a Note, the version you're seeing is the current, live version of that Note -i.e.: collaborators will see the same content as you do.

Notebook Drafts allow you to have "states" of your notes. This enables you to maintain a Draft, Updating, & Published state for individual notes, giving you the ability to have a shared, published version available to your collaborators and publication recipients, while working on a draft update of that same note.

Notebook Drafts will need to be enabled on a template-by-template basis. To enable Notebook Drafts:

  • Go to the “Manage Templates” menu

  • Select the ellipses menu and select “Convert to Publish Workflow” from the dropdown

  • Once confirmed, you'll see the publish icon appear for your template, indicating that notebook drafts will be enabled for notes created using this template.

Note: In order to enable Notebook Drafts, you must be the owner of the Notebook Template


Creating Notebook Drafts

To create a draft:

  • Select the “Templates” menu

  • Locate your template with Notebook drafts enabled (“Publish” icon)

  • Create a note using the template

You'll notice the note is in the draft state and has the publish flow enabled


Publishing Notebook Drafts

When you're ready to publish your draft note:

  • Click the “Share” button located in the upper right-hand corner of your note.

  • Select the “Publish” tab.

    • The “Publication List” will populate the recipients you previously set through the template. You can add or remove recipients if needed.

    • You can also add a message to go along with the publish announcement as well

    • Click “Preview Publish"

You'll be able to preview your Notebook before it is shared with your publication list. When you're satisfied with your Notebook:

  • Press the “Publish” button to finalize the publication

  • Upon successful publishing, you'll receive a confirmation message and the Publication URL, which you can share with your team for quick access.
