The new interface allows you to view all your tags— Private, Public, and Shared—in one convenient location. You can easily sort, search, and filter tags to find those relevant to you work; and you can delete and rename tags to keep them organized.

What can I do with Tag Manager?
- Delete tags - they’ll be automatically removed from all associated documents.
- Edit tag names - changes are applied instantly across all documents using that tag.
- Merge tags - Combine up to 10 redundant tags into one unified tag. All tagged documents will be updated automatically.
How to Access Tag Manager
Option 1:
- Click the Tag button on a document
- Click the Manage Tags button

- Go to Preferences
- Click Tags
- Open the Tag Manager
Security Controls
To ensure only authorized individuals create shared tags that are used across your organization, we can limit the ability to create new public and shared tags to a specific group of users upon request.

Shared Tags
Shared Tags, are a new way for you and your team to tag documents while keeping them accessible only to the right people.
If your team is organized into specialized groups, you likely need a way to collaborate efficiently while ensuring that your research and insights stay within your group. Until now, you had to choose between Private Tags (just for you) or Public Tags (visible to the whole organization). Now, with Shared Tags, you’ll be able to select individuals or groups that have access to the Tag.
Why use Shared Tags?
- Team-Based Research – Share insights only within your team while keeping your tagging structure consistent.
- Confidentiality & Control – Keep sensitive work within your group instead of making it available company-wide.
- Easily add or remove users – New team member? No problem, simply add them to the Tag and now they have access.
How do they Work?
Create a Shared Tag:
- Go to the Tag Manager or start typing in the Tag input screen
- Select either Default Individuals and Groups or Selected Individuals and Groups
- Add users to your Tag
Apply the Tag to a Document:
- Search for the tag and apply it to a document or highlight
- Only selected users will be able to see the tag
Edit the Tag:
- Navigate to the Tag Manager
- Click the ellipsis next to the tag > Edit
- Add or remove users
Merge Tags
The Merge Tags feature lets you combine multiple tags into a single, unified tag. Merge Tags helps clean up your tagging system, removing redundancies and making it easier for your team to organize their research.
How do merged tags work?
- You can merge up to 10 tags at a time.
- Tags must be of the same type: either public and shared or private.
- Once merged, all documents that used the original tags will automatically use the new tag.
- The new tag’s sharing settings will apply to the merged tags. For example, if you merge a shared tag into a public tag, the resulting tag will have public sharing settings.
FAQ
Can I create a Shared tag that has the same name as a Public tag?
- Yes! Tag names must be unique within their permission group (Private, Public, or Shared), but can be the same across different groups. For instance, you could have a Private tag called "Opportunities," a Public tag called "Opportunities," and a Shared tag called "Opportunities." However, you cannot have two Shared tags with the same name.
If I delete a Shared tag, will it keep all of the tags I previously applied onto a document?
- No, deleting a Shared Tag will remove all historically applied tags.
Can anyone in my firm create a Public or Shared tag?
- By default, anyone can create Public and Shared tags. But, we can limit that capability to specific users — please provide that user or list of users, and we can ensure only those on the list can create firm-wide tags.
